Activity menu

In the Admin Console of SafePassword, the Activity menu provides administrators with a comprehensive log of user activities within the platform. This feature is essential for monitoring user interactions and ensuring security compliance.

When you click "Activity" in the left menu of the Admin Console, you can view the access history of SafePassword. This can be used by administrators to review the activity logs of SafePassword users.

What does Activity display?

A chronological list of user activities will be displayed. When you click Activity in the left menu, a list of user activities recorded over time will be displayed, as shown below. The list will display the following items:

  • Date: Shows the date and time when the activity occurred, formatted as YYYY/MM/DD HH:MM:SS AM/PM (e.g., 2025/01/21 3:49:10 PM).

  • User: Displays the email address of the user who performed the activity.

  • Location: Indicates the user's access location in the format of City, State/Province, Country (e.g., Seongnam-si, Gyeonggi-do, KR).

  • Category: Classifies the type of activity, aiding in filtering and analysis.

  • Type: Provides a more detailed description of the activity within its category. It displays detailed user activity history from activities categorized in categories. (Example: login failure/success, authentication information, opening passwords, opening resource templates, opening and deleting groups, copying encrypted data to clipboard, etc.) The type of type is a sub-concept of filter, and the activity history classified into detailed types is as follows:

    • Login: Login, Login Failed, Register, Password Change

    • General Use: Open Password, Add Password, Update Password, Delete Password, Open Group, Add Group, Update Group, Delete Group, Download File, Copy Security Field Data, Show Security Field Data, Add Favorite, Delete Favorite

    • Security: Invite User, Grant Administrator Privilege

    • Share:

      • Add/remove users and groups: Add user to group, Remove user from group, Add group to user, Remove group from user

      • Share passwords: Share passwords with users, Share passwords with groups, Share passwords with users and groups

      • Remove sharing relationships: Remove password sharing with a user, Remove password sharing with a group, Remove password sharing with a user and a group

      • Change User/Group Permissions: Change user permissions for shared passwords, change group permissions for shared passwords, change user and group permissions for shared passwords

      • Change Access expiration of the shared password: Change user expiration date/time for shared passwords, change group expiration date/time for shared passwords, change user and group expiration date/time for shared passwords

    • Templates: Open Template, Add Template, Update Template, Delete Template

Filtering Activities

The filter () is located at the top of the list in the Activity category, and clicking on it will allow you to select and display only the categories you want. If you have a lot of activity list, you can view them by dividing them into specific categories.

Filters can be multi-selected, and only the items in the categories selected by the filter will be displayed. If a filter is applied to the activity list, the filter icon next to the top item name will be filled with blue (). This makes it easy to see whether the filter is applied.

To clear the filtered list, press the blue filter icon (), deselect the selected categories, and press 'OK' to display all items.

To efficiently navigate through extensive activity logs, apply filters:

  • Date Filter:

    • Click the filter icon () next to the Date column header.

    • Specify the start and end dates to define the desired period.

    • Click 'Apply' to view activities within the selected range.

  • User Filter:

    • Click the filter icon () next to the User column header.

    • Select users to filter recent activities in the candidate list. If there is no user you want to see, please use the search field in the popup.

    • Click 'Apply' to view recent activities of the selected users.

  • Category Filter:

    • Click the filter icon () next to the Category column header at the top of the activity list.

    • Select the categories to display, such as Login, General Use, Security, Sharing, or Template.

    • Multiple categories can be selected simultaneously.

    • Click 'Ok' to apply the filter.

Types of Category Filters

  • Login: displays the login-related activities of SafePassword users.

  • General Use: displays the general activities such as opening, deleting and editing passwords.

  • Security: Shows only activities where the user invited other users or was invited to a group.

  • Sharing: Shows only activities where the user shared passwords with other users or was shared with a group.

  • Template: Shows only activities where the administrator viewed, edited, or deleted a template in the console.

Applying Duplicate Filters

Using the date filter and category filter in the list together is very useful when there are many activities in the activity log, because you can narrow the scope by period and category.

To examine a specific activity in detail:

  1. Click on the desired activity in the list.

  2. A detailed popup window will appear, providing in-depth information about the selected activity.

  3. After reviewing, close the popup by clicking the 'X' button in the top-right corner.

Searching Activity Logs

Since the list in the activity log contains a lot of content, you might still have to use the search even after applying the filter.

  1. Enter relevant keywords into the search bar at the top of the activity list.

  2. Press 'Enter' to display matching results.

  3. To revert to the full activity list, clear the search input and press 'Enter' again.

Resetting Filters

To remove applied filters:

  1. Click the active filter icon (displayed in blue).

  2. Deselect any selected categories or date ranges.

  3. Click 'Reset' and then 'Apply' to return to the unfiltered activity list.

By utilizing the Activity menu's filtering and search functionalities, administrators can effectively monitor and review user activities within SafePassword, ensuring a secure and well-managed environment.
